The project was to create the entire workflow for a new Insurance firm with 6 callers and using Email, SMS, Voicemail, Chat and Social mix. The project needed 11 Automations, 3 pipelines (Form feed, Social and Referrals), 10 Landing pages, automated bot and an inbuilt website for the Insurance firm. We also used LeadNurture for the calling operations and Looker for special reporting outside of the CRM. The processes also needed the use of Make and external Glue code. The forms were responsive and multi-step - beyond the capability of Go High Level. The project was completed in under 30 days.
The project involved designing and implementing a comprehensive sales and marketing workflow for a newly established insurance firm with six dedicated sales agents. The goal was to create a fully integrated system within Go High Level (GHL) that streamlined lead acquisition, engagement, and conversion through a combination of Email, SMS, Voicemail, Chat, and Social interactions.
A key aspect of this project was crafting a structured sales agent process that optimized efficiency while maintaining a personalized approach to client interactions. The system was built around three distinct pipelines:
Form Feed Pipeline – Capturing leads from website forms and landing pages.
Social Pipeline – Managing inbound inquiries and leads from social media platforms.
Referral Pipeline – Handling warm leads from existing clients and partners.
Each pipeline was designed to guide leads through a systematic nurturing and follow-up process, ensuring timely responses and high engagement.
To facilitate smooth operations, we developed 11 custom automation sequences that covered every touchpoint in the sales journey. These automations included:
Instant lead capture and assignment to sales agents.
Multi-channel follow-ups via Email, SMS, and Voicemail drops.
Dynamic lead scoring to prioritize high-value prospects.
Automated appointment scheduling and reminders.
Post-conversion onboarding workflows to enhance customer retention.
Beyond GHL’s native capabilities, we leveraged Make (formerly Integromat) and custom Glue code to bridge gaps in automation, enabling more sophisticated workflows.
The project required an inbuilt website and 10 high-converting landing pages, all optimized for lead generation. Given GHL's limitations with form flexibility, we implemented multi-step, responsive forms outside of GHL’s native tools, ensuring a smoother user experience and higher conversion rates.
Additionally, we deployed an automated chatbot for real-time engagement, qualifying leads instantly and directing them to the appropriate sales agent.
For the firm’s outbound calling operations, we integrated LeadNurture, which provided a structured dialing system for the six agents. This allowed for tracking call outcomes and ensuring consistent follow-ups.
Since Go High Level’s built-in reporting had limitations, we incorporated Looker for advanced data visualization and performance tracking. This gave the firm deeper insights into sales efficiency, agent productivity, and conversion trends.
Despite the complexity and scale of the project, the entire system was successfully designed, implemented, and tested
within 30 days. The result was a seamless, automated, and highly effective sales process that empowered the insurance firm to scale its operations rapidly. The combination of GHL, external integrations, and strategic automation ensured that the agents could focus on closing deals while the system handled lead nurturing, follow-ups, and reporting with minimal manual effort.
