Google and High Level Domain Issues

We were hired to resolve a critical issue where the client’s emails from HighLevel CRM were consistently landing in spam folders, affecting communication and deliverability. To fix this, we conducted a complete overhaul of the domain’s DNS settings, resolving conflicts in GoDaddy, cleaning up outdated or conflicting entries, and re-verifying all essential GoHighLevel email authentication protocols, including SPF, DKIM, and DMARC. Additionally, our team implemented corrective measures to restore the domain’s reputation, ensuring compliance with best practices for email deliverability. As a result, the client’s emails now reach inboxes as intended, significantly improving their communication reliability.

Our team was engaged to address a pressing issue where the client’s emails sent via HighLevel CRM were consistently being marked as spam. This problem severely impacted their ability to communicate with leads and customers, leading to lost business opportunities and reduced engagement. Given the importance of email as a primary communication channel for the client, resolving this issue was a top priority.

The root cause of the problem was a misconfigured domain authentication setup, compounded by outdated and conflicting DNS records within GoDaddy, the client’s domain registrar. Without proper email authentication in place, mailbox providers flagged the client’s emails as untrustworthy, causing them to land in spam folders instead of recipients' inboxes.

To rectify this, we conducted a comprehensive audit of the client’s DNS settings. Our team identified and removed outdated or redundant records that were interfering with email authentication. We then reconfigured and re-verified essential email authentication protocols, including SPF (Sender Policy Framework), DKIM (DomainKeys Identified Mail), and DMARC (Domain-based Message Authentication, Reporting, and Conformance). These protocols are critical in proving the legitimacy of an email sender and preventing spoofing or phishing attempts, both of which contribute to poor email deliverability.

Additionally, we implemented strategic measures to restore the domain’s reputation, which had been negatively affected by previous misconfigurations and low engagement rates. This involved ensuring compliance with industry best practices, such as maintaining a proper sending cadence, warming up the domain, and improving email content quality to reduce spam-triggering elements.

Throughout the process, we worked closely with the client to provide guidance on maintaining email deliverability, including best practices for list management, avoiding spam-triggering keywords, and monitoring domain reputation over time.

As a result of our intervention, the client’s emails are now successfully reaching recipients’ inboxes, significantly improving their ability to engage with leads, customers, and business partners. The resolution of this issue has led to a notable increase in email open rates, response rates, and overall communication reliability. This project underscores the importance of proper email authentication and deliverability strategies in ensuring that businesses can effectively reach their audience without disruptions.
